This Volunteer Agreement (“Agreement”) is entered into between #company_ref# (“Motiv8sports Franchisee”), _______________________________________ (“Volunteer”), and the parent or legal guardian of the Volunteer.
This Agreement sets out the terms under which the Volunteer agrees to participate in the Motiv8sports Leadership Pathway Program (“Program”) in accordance with the laws of New South Wales or Queensland as applicable.
1. Purpose of Agreement
The purpose of this Agreement is to outline the responsibilities, expectations, and rights of both Motiv8sports and the Volunteer to ensure a safe, enjoyable, and rewarding experience for all participants.
2. Voluntary Nature of Work
The Volunteer understands that their role is entirely voluntary, unpaid, and does not constitute an employment relationship between the Volunteer and Motiv8sports.
The Volunteer will not receive any remuneration, wages, or employment-related benefits for their participation.
If, at any point, there is an opportunity for paid work with Motiv8sports, the Volunteer will be informed, and any such arrangement will be properly documented through a formal employment contract, contract for services, or other appropriate agreement.
The Volunteer acknowledges that participation as a Volunteer does not guarantee future employment opportunities with Motiv8sports.
3. Duration of Volunteer Work
The Volunteer agrees to participate in the Program for a duration of one (1) year. During this period, the Volunteer will be asked to make themselves available for a series of scheduled activities and events, with the aim of engaging in at least one (1) Motiv8sports Camp or tournament during each of the following school holiday periods: January, April, July, and October.
Whilst the Volunteer is not guaranteed to be assigned to all events, they will be asked for availability each holiday period, and Motiv8sports will make reasonable efforts to roster them for at least one (1) camp or tournament during these times.
In addition, the Volunteer will be asked to make themselves available to assist with the Super Sunday Birthday Parties, which occur on one (1) Sunday each month. There are ten (10) such events annually, and Volunteers are encouraged to participate in as many of these events as their availability allows.
4. Duties and Responsibilities
The Volunteer will assist with a variety of tasks during the Program, including but not limited to the following:
- Supporting camp leaders in supervising younger participants and ensuring their safety and well-being;
- Helping to facilitate games, workshops, and team-building activities;
- Assisting with the setup and pack-up of activities;
- Escorting participants to the toilet and assisting with other needs as required;
- Assisting group instructors in managing activities and ensuring smooth operations; and
- Participating in group activities alongside attendees and supporting the clean-up at the end of the event.
These duties are essential to the smooth running of the camp and ensuring a positive experience for all participants.
5. Supervision and Support
The Volunteer will be supervised at all times by an authorised staff member.
Motiv8sports will provide appropriate guidance, training, and resources to ensure that the Volunteer can safely and effectively perform their duties whilst enjoying a meaningful experience.
6. Code of Conduct
The Volunteer agrees to:
- Adhere to all safety protocols, guidelines, and organisational policies;
- Treat participants, staff, and fellow volunteers with respect, kindness, and fairness;
- Refrain from engaging in any form of bullying, harassment, or inappropriate behaviour; and
- Respect the confidentiality of all personal information regarding participants, staff, or any other individuals involved in the Program.
Failure to comply with this Code of Conduct may result in the immediate termination of the Volunteer’s participation in the Program.
7. Confidentiality
The Volunteer agrees to keep confidential any personal or sensitive information about participants, staff, or other volunteers that they may learn during the course of their involvement in the Program. This includes, but is not limited to, personal details, health information, or any other private matters discussed or observed during the Program. The Volunteer will not disclose such information to any third party without permission, unless required by law.
8. Health and Safety
Motiv8sports prioritises the health and safety of all participants, including Volunteers. Motiv8sports is committed to taking all reasonable steps to ensure a safe environment for the Volunteer and will provide appropriate training, guidance, and safety measures during the Program.
The Volunteer will not be required to perform any tasks that may put their health or safety at risk.
In addition, the Volunteer has a duty to take reasonable care of their own health and safety and to avoid actions that could cause harm to themselves or others. The Volunteer must:
- Follow all health and safety instructions provided by Motiv8sports staff or leaders;
- Immediately report any concerns or unsafe conditions to Motiv8sports staff or supervisors;
- Avoid performing any tasks or activities that they feel are unsafe or beyond their ability to complete safely;
- Comply with any specific safety protocols, including those related to physical activities, equipment use, and environmental hazards; and
- Cooperate with Motiv8sports’ safety policies and procedures.
9. Parental or Legal Guardian Consent
As the Volunteer is under eighteen (18) years of age, written consent from a parent or legal guardian is required for participation in the Program.
By signing this Agreement, the parent or legal guardian of the Volunteer confirms their understanding and agreement that the Volunteer role is unpaid, entirely voluntary, and does not create an employment relationship between Motiv8sports and the Volunteer.
10. Privacy and Media Consent
Motiv8sports will collect, store, and handle personal information in accordance with all applicable privacy laws.
This may include, but is not limited to, use on Motiv8sports’ website, social media channels, marketing materials, and other promotional platforms. If the Volunteer or their parent or legal guardian does not wish for these images to be used for such purposes, they must specify their preferences in writing prior to the start of the Program.
11. Termination of Agreement
This Agreement may be terminated by either party at any time, with reasonable notice, allowing both parties to respectfully end their involvement without disruption.
Motiv8sports may terminate this Agreement immediately if the Volunteer breaches any terms of this Agreement or engages in misconduct, including but not limited to violating safety protocols, engaging in bullying or discriminatory behaviour, or failing to follow the Code of Conduct.
12. Acknowledgement
By signing below, the Volunteer and their parent or legal guardian acknowledge that they have read, understood, and agree to the terms of this Agreement.
